Steps to Successful Workflow Analysis

Business workflow analysis is a collaborative process involving the people who do the work; those with the vision of how best to do the work; technical people who know how technology can support that vision; and a facilitator to help all those involved reach a rapid and appropriate conclusion as to the best ways to optimize the workflow.

Business workflow analysis includes documenting each step in each workflow (e.g., receiving, sorting/indexing, routing, approvals etc.) for the current and desired workflows. Often this is done by meeting with each user or user group representative and noting each step in the current process, then documenting the process, and finally designing a streamlined process. Knowledge of business process flow analysis, meeting facilitation, and best practices is mandatory to guide this process.

Here are the basic steps we take to ensure a successful workflow analysis for your organization:

Phase 1

  1. Evaluation based upon department or company size. Determine the needs and the areas that DocuVantage™ can help you improve.

  2. Schedule analysis meetings at your site with users or user group representative; technical liaison must be available. This step typically takes 1-2 days.

  3. DocuVantage™ will develop a current architecture document and list our recommendations for your organization. This step typically takes 3-4 days, depending upon whether it is a department or enterprise-wide evaluation.

  4. Meet with your organization's Senior Management to present current architecture and recommendations for workflow process improvement.

Phase 2

  1. Your organization selects the recommendations you would like implemented by DocuVantage™.

  2. We'll review your options with you to decide on the best method to proceed with implementation.

  3. Further validation of current processes.

  4. Streamline processes for greatest success and ROI.

  5. Implement solution, client testing and approval.

  6. Sign-off and final payment.

  7. Ongoing support and plan for future departmental improvements.
