Fruit Processor utilizes DocuVantage OnDemand™ to reduce the Fruit Payable reconciliation process from 24 man-hours to just minutes.
Reconciling grower's field tickets, USDA inspection certificates, and weight tickets each week was consuming valuable time. It was a paper intensive process that required manual sorting and data entry as the documents arrived. To ensure proper payment to its harvesters at the end of each week the collection of documents were manually reconciled for weekly production figures. Tickets from remote processing facilities were shipped weekly to the central office.
At the end of the process, the documents were packed in boxes and stored for 2 years. If a grower needed a copy, personnel would have to go through the boxes to find the document. It was not uncommon to have boxes of tickets stacked in the aisles nearby during the harvesting season if quick access was needed.
DocuVantage OnDemand™ allows the company to capture the documents as they arrive, extract the data and save the documents electronically in a secure location. A weekly report performs the reconciliation in minutes instead of hours. If a grower needs a copy, it is accessed in seconds.
Document Advantage utilized high-speed Fujitsu scanners and Kofax Ascent Capture to provide production level capture and data extraction for the large volume of documents. Once validated, the documents are released to DocuVantage OnDemand™ for document storage, retrieval, and reporting.
Future phases of the solution will allow the company’s remote processing facilities to scan the documents daily and eliminate the need to ship to the central office.

Document Advantage Welcomes Hillsborough County Public Works Traffic Services Division
Public Works offers an array of services in order provide a transportation system satisfying diverse mobility needs while recognizing concern for safety and the environment.
Services include:
Maintenance and repair of roadway and storm water infrastructure
Managing traffic signals, signs, striping, and street lighting and related infrastructure

Challenge
During the process of preserving the transportation system, providing user safety and mobility, and expanding system capacity, the division has generated vast paperwork, that not only includes the documents physically within the division but the documents stored on CDs and in the county’s warehouse. Consequently, document storage space is becoming scarce. In addition, just the Traffic Services Division generates approximately 199,032 documents per year.
Time that could be used to handle critical business functions is spent organizing these documents in preparation for filing. The preparation process and the actual filing of these documents manually is very tedious and mistake-ridden. As a result, the division has had to contend with lost, misfiled, and misplaced documents. Valuable staff time is wasted searching or recreating documents.
Further problems are:
Bottlenecks in manual workflow processes
Inability to provide shared access to documents within County Center and from remote locations
Lengthy review and approval processes
Amount of time it takes to retrieve historical documents
Time and space requirements using paper storage methods
These problems compelled Public Works staff to seek a remedy; a process that led to the creation of the Strategic Automation Plan project.
Solution
DocuVantage implements a Web based document and workflow management system that provides the ability to capture and recognize documents and information from any location. Also, tracking features available through the DMS will enable the division to maintain control over their documents, facilitating retrieval of complete and timely data. Further, Public Works’ manual workflow processes will be automated, moving electronic documents quickly and efficiently along assigned routing paths.
The major advantages to Public Works will be a significant reduction in the time it takes to process client documents, improved workflow, and the added benefit that all documents would be maintained in a central location and secured against unwarranted access or use.

Why Web Document Management Just Makes Sense
Very few people in the 80's forecasted Microsoft and it's family of products as a dominant industry force. In fact, if one was to make a decision on what technology to standardized document management on in this era, it would probably be DOS-based thick clients, communicating via manual disk swapping; not very appealing by today's standards. This brings up an excellent question: What makes people think that the future will run like today? We have already seen a large leap forward in Linux adoption, and not just on the server side. There has also been a decent amount of people moving to Apple, especially in the younger laptop market. So what should we standardize on, or should we standardize at all? That's where the web comes in. Apple's OS X, Linux, Windows and many other operating systems can, and are used as clients. In fact, it is much harder today to find a network that has only one operating system being used as the client. The accountants and business departments use Windows, the graphics and media guys are on Apple OS X and the developers are working on Linux. The best solution is to use a method of application deployment that the overwhelming majority of operating systems can handle. That solution is using the web. For example, Say Joe needs to leave work (where he uses Windows) early to see his son play baseball but he wants to be able to get some work done at home after the game (on his OS X laptop); With a thin client application setup via the web, Joe can do just that. Likewise, Bill can do the same thing from inside his software development cubical using his Linux box. Not only does using the web allow people to access the system from the operating system of their choice, it also does not introduce the need to force one operating system on everyone (which generally doesn't go over well!). It also eliminates the need for a new operating system license, which is always a good thing.
