Citrus and Electronic Document Management

Citrosuco and DocuVantage Streamline Operations

Citrosuco, established in 1963, is one of the world's largest processors of oranges and producers of frozen orange juice.

Daily the loading dock receives hundreds of truckloads of citrus that needs to be received, inspected, and processed in a timely manner. In addition to the documentation needed to run their own business, Citrosuco must comply with government regulations. They act as a broker for a number of other food product companies and so must retain and forward the appropriate documentation to these agencies.

Prior to having an electronic solution, every load was assigned a load number that was handwritten on the back of a fruit ticket brought in by the driver. Later in the day, a courier delivers this fruit ticket to the front office where someone would then match it to the corresponding USDA Inspection certificate. Then the appropriate copies were made for the applicable files. While being a very simple process, this involved several hours of manual paper matching, copying, stapling, sorting, separating, and forwarding.

Citrosuco contracted Document Advantage Corp., (DocuVantage) to install the Optix® Archive server software and began with two single-field screens, one each for the load number to be entered from the fruit tickets and the USDA Inspection Certificates. At this point, the IT director realized the potential for using OCR (Optical Character Recognition) to read the Inspection Certificates. Processing these Inspection Certificates became a matter of loading the scanner with a stack and monitoring the paper feed.

Within the first two days over 1,000 fruit tickets and Inspection Certificates were processed, matched, and a report was generated to detect missing certificates, previously a time-intensive search. Additionally Citrosuco is using the Optix® system to manage the documentation associated with their ISO 9000 certification.

In addition to the time being saved, DocuVantage is pleased to play a part in saving the additional effort and expense of purchasing another facility located on the property for storage of these documents.

Citrosuco is now integrating their existing database driven programs with Optix® for a simplified and fool proof solution that will allow the fruit tickets to be scanned and indexed at the kiosk on the loading dock. They have also implemented the Optix Workflow module to streamline their Accounts Receivable Department and have now begun managing the HR Departments records.
