Fruit Processor utilizes DocuVantage OnDemand™ to reduce the Fruit Payable reconciliation process from 24 man-hours to just minutes.
Reconciling grower's field tickets, USDA inspection certificates, and weight tickets each week was consuming valuable time. It was a paper intensive process that required manual sorting and data entry as the documents arrived. To ensure proper payment to its harvesters at the end of each week the collection of documents were manually reconciled for weekly production figures. Tickets from remote processing facilities were shipped weekly to the central office.
At the end of the process, the documents were packed in boxes and stored for 2 years. If a grower needed a copy, personnel would have to go through the boxes to find the document. It was not uncommon to have boxes of tickets stacked in the aisles nearby during the harvesting season if quick access was needed.
DocuVantage OnDemand™ allows the company to capture the documents as they arrive, extract the data and save the documents electronically in a secure location. A weekly report performs the reconciliation in minutes instead of hours. If a grower needs a copy, it is accessed in seconds.
Document Advantage utilized high-speed Fujitsu scanners and Kofax Ascent Capture to provide production level capture and data extraction for the large volume of documents. Once validated, the documents are released to DocuVantage OnDemand™ for document storage, retrieval, and reporting.
Future phases of the solution will allow the company’s remote processing facilities to scan the documents daily and eliminate the need to ship to the central office.

White House Official Pushes for Software as a Service
Government agencies realize the many benefits of Software as a Service. Low cost of entry, reduced customer resources, fast deployment and immediate ROI. A top official with the U.S. White House's Office of Management and Budget (OMB) gave her strongest endorsement yet to software as a service, saying Wednesday it can help federal agencies cut development costs.

SaaS is Green!
Software applications that are architected and delivered as Software as a Service (SaaS), provides server and storage consolidation, which means reduced power consumption.
In the Electronic Document Management and Business Process Automation industry, software license or ASP vendors typically require their customers to operate the software on multiple servers, one for the database, one for the application, one for the workflow, etc. At the very least, they want their application running on it's own server so that they can "support" it. You know that if MS Exchange is running on the same server that your EDMS is running on, Exchange is causing any errors that might occur. In the SMB market, the weakest server you can buy is overkill for an EDMS. The CPU runs at about 2% and you get more storage than you know what to do with. Oh yeah, don't forget you have to back all that stuff up too. Another tape drive for the server closet...
Without doing the math, I think you can see that if a SaaS vendor can put 50 customers on one server instead of 50 servers, there is a savings in power. Plus, you have now enabled 50 companies to allow telecommuting. That could save some gasoline as long as those telecommuters aren't heading out to the beach on the days they are "working" from home. Wireless Broadband sure makes that easy!

Why Service Level Agreements?
Why do you care if your Software as a Service or Application Service Provider has a Service Level Agreement (SLA)? It would be in their best interest to keep the application up and running at all times, right?
What happens if the service does go down? Do you get a refund? Would it make a difference if you did get a refund? Probably not. Does it mean that the service will never go down? No. It means that your provider has committed to keeping the service available and is willing to put the commitment on paper and even refund some of your money if something were to happen to disrupt your use without prior notification. If there is downtime, there is a strong economic incentive for the vendor to return the service to normal since they would be paying penalties to a large number of companies. That gets management's attention quickly.
So why have an SLA?
It is a contract between you and your service provider stating that they will do everything in their power to ensure that the service is available, and if they don't, there are penalties. The reason to have an SLA is for your vendor to show their commitment to you and to set the groundwork for when they don't meet that commitment. They are committing to guaranteed up-time. They commit to specific maintenance windows so that you can plan for them. It is human nature to pay more attention to meeting commitments that are described in legal documents than ones that are verbal.
Be wary of where your applications reside. There are large companies out there offering to host your data and applications without an SLA. What will they tell you? "We are the largest e-commerce website and we use the same data facility for your data as ours." Tell them "That's nice but why won't you commit to providing a Service Level Agreement for my data?"
Also beware of the vendors that will only provide a SLA on the data storage and not the application. You need both.
You might start to think that you shouldn't use hosted applications. But, how many companies have an IT shop that provide service level and uptime commitments to its staff? Very few, because many companies either cannot afford or choose not to put the infrastructure in place that is required. Redundant hardware, software, networks, people, it all adds up to big $$.
SaaS vendors can provide the critical infrastructure because the cost is shared across many customers so the cost to each individual customer is actually very low.
Ultimately the SLA lets you take advantage of hosted applications, 99.9% uptime, upgrades and 24-hour support without incurring the costs. You get a committed partner instead of a supplier. SaaS vendors must earn your business each and every month. Very different from the suppliers you purchase software licenses from.
